Minutes of Meeting

 

February 21st, 2007

 

Welcome - The meeting was called to order by Kent Kierman, HOA President.  The attendees were Doc O'Connor, Ed Bennett, Anina McMurdo, Barb Clayton.

 

A question was raised about our contract with Natural Design Landscaping and when it is up for renewal.  Anina mentioned that the contract is automatically renewed and a cost of living increase will go into effect soon.  It was agreed that a cost of living increase of 5% (actual is 3.3%) is acceptable.

 

The treasurer’s report was approved.

 

There was a question about the term “net 30” on the dues statement.  Ed will find out what that means.

 

Who is responsible for reading the HOA email.  A homeowner complained of sending multiple unanswered emails.  Kent will speak to Chelan Jenness, the HOA secretary, because should be one of her responsibilities.

 

Kent questioned who to contact about the power and fence damage on 228th Ave.  Anina will call Natural Design and find out what they know about the damage to the power, since the contractor claims that they warned them about finding a wire, but received no response and went ahead with construction.

 

Anina will give Ed the case number for the accident that caused the damage to the entrance brickwork and he will follow up with our insurance company about getting it repaired.

 

The water will not be turned on until it gets dryer and the master valve is repaired.  Anina will call Natural Design about getting this done.

 

Anina voice concern about downed trees at the “bus turnaround” area next to the pipeline.  It was agreed the HOA board members will inspect the area and a decision will be made at the next board meeting.

 

Anina suggested renting a dumpster for community members to have an opportunity to do some spring clean-up.  This was mentioned at a previous meeting.  The secretary, Chelan Jenness was going to check up on this.  Anina will contact her to see if she has.

 

Question: Did Christmas light winners ever receive their prizes?  Chelan was going to do this.  Kent will call her and ask.

 

Kent provided paperwork about “Map your Neighborhood”, a program to help neighborhoods in disaster preparedness by determining the resources available in the neighborhood.

 

CC&R letters will be going out soon to neighbors in violation of CC&R’s.

 

A question was raised about whether paint color samples and roof preferences could be added to the web site.  Anina will investigate.

November 8, 2006

 

Welcome - John Tomlinson, HOA President. The meeting was attended by Wendy Donnahoo, homeowner; Barb Clayton, homeowner; Jun Qiu, homeowner; Kent Kiernan, President; Doc O’Conner, Vice President; Ed Bennett, Treasurer; Anina McMurdo, Landscaping & Webmaster; and Chelan Jenness, Secretary.

Treasurer’s Report

Bank of America Checking: closed

First Mutual Checking: $232.85

First Mutual Savings: $1,583.33

Money Market at First Mutual: $82,450.79 (pipeline compensation)

Receivables: $2,305.28 (two homeowners have not paid multiple years--liens have been filed)

Payables: $4,859.01

2006 Budget: Ed went over the proposed 2007 budget. Our water bill was significantly higher because of the broken master valve.  Any water leaks should be reported to the HOA board immediately.  The budget actual for 2006 looked really bad because of the playground structure that was installed.  The 2006 Actual budget was approved, as well as the proposed 2007 budget.

CCR Violation procedure: There were several complaints about homeowners who are in violation.  An email should be sent to the HOA board to be discussed.  Violations will be handled case by case.

Pipeline: Finally completed in the fall.  Reconstruction of the paths have been completed.  Homeowners were, for the most part, happy with the paths.

Mail Boxes: Mailboxes were installed over the summer.  A question was asked if there could be more installed, as they are more sparse then with the old mail boxes.  The old mailboxes were combined to save money on the installation of fewer new locking mailboxes.

Landscaping Changes: Adjusting the watering of community areas could save the HOA a lot of money.  Should watering of community areas be cut in half or not watered at all?  No agreement was reached.

Doc proposed adding a parking lot to the soccer field in order to keep cars from blocking parking in front of people homes.  The soccer field would be cut in half with the parking lot being added on the south end including two entrances.  No conclusion was made.

3nd Annual “Best Decorated House” Contest: Board will again be holding a contest in December for holiday decorations with prizes being awarded for 1st, 2nd and 3rd place.  Homes will be judged on 12/17 by the board.

Open Board Positions: We are still looking for more help

Open discussions:

Storm drains were clogged because of leaves causing large amounts of standing water on the roads.  Homeowners should be aware of water drainage problems near their home.

It was suggested that a contact list should be composed of email addresses of homeowners that would be used for sending out important notices and meeting reminders.

To encourage participation of new homeowners, a new resident letter would be sent.  It would include a welcome to the neighborhood, introduction of the HOA, garbage pick up days, and possibly other helpful things to know about Sammamish.

There will be no December meeting.

January 17, 2007

 

Welcome - The meeting was called to order by Kent Kierman, HOA President.  The attendees were Doc O'Connor, Vice President; Ed Bennett, Treasurer; Chelan Jenness, Secretary; Greg Jenness, Homeowner.

 

The final 2007 budget was approved.

 

The Natural Design contract needs to be reviewed soon.

 

The entrance to our neighborhood has seen better days!  Currently, the electrical is out and there is damage to the brick entry on the north side.  Also, our rotting fence along 228th is in desperate need of renovation.  Several ideas were suggested including a chain link transparent fence, pressure treated wood, or have the city do something since it is on city property.  Either way, our fence looks terrible and needs to be fixed.  However, we need to wait until construction on 228th is finished, as it has caused unnecessary damage as well.  Doc volunteered to do some research on quotes for new fence ideas.

 

Doc will contact the city to find out who is responsible for the fallen tree that fell between our neighborhood and Deerpark causing damage to someones house.

 

Several suggestions were made for other ways to spend the money that is currently being used to maintain the soccer field.  Suggestions included de-icer in the winter time for 19th Dr., brush clean up in the spring, and general beautification of the neighborhood.

Chelan will order Simon Giftcards for the winners.  These cards can be used anywhere that Visa is accepted.

 

There is a boat trailer that keeps showing up at one house.  The question was asked if it could be towed?  The Associate does not allow the storage of boat trailers on the property, but doesn’t say if they can be towed.
