Minutes of Meeting
Welcome - John Tomlinson, HOA President. The meeting was attended by Paul and Prabita Pottorff, homeowner; Murat Osturan, homeowner; Jim Merrick, homeowner; Kevin McKernan, homeowner; Charlene Fletcher, Treasurer; Doc O’Conner, Vice President; Kent Kiernan, Vice President, and Terry Fletcher, Architectural Control Committee.
Treasurer’s Report
Checking Account: $15, 406.31
First Mutual Savings: $21.610.70 (play structure & fence repairs)
Money Market at First Mutual: $84,180.23 (pipeline compensation)
$90,500 initial less $6,537.26 for attorney fees
Receivables: $1,887.67 (two homeowners have not paid for 2 or more years--liens have been filed)
Payables: $3,317.05
2006 Budget: John went over the proposed 2006 budget. A new landscape company has been selected with the hope that even though the monthly expense will be higher, there will be more services in the contract so we don’t have as many incidental charges. Anina McMurdo was key in negotiating the contract with Greenbelt Services. The fence repairs were a large expense for the 2005 actual budget, as well as tree removal. It is important that the Board be informed of trees in our greenbelts that need to be removed. The budget actual for 2005 looked better because we didn’t pursue the use of the management company. Instead, we have been using a bookkeeper to help the Treasurer.
CCR Violation procedure: Because the procedure hasn’t been too successful in the past, the Board has changed from a CCR committee to a “meter maid” type system with any homeowner being able to send a post card regarding infractions and then turning over information to the board if further action is necessary.
Pipeline: John announced that the HOA received $90,500 from the pipeline company as a settlement for use of our property as a staging and storage area. They will be removing some trees. We hope to be able to use some of the money for capital improvements after the pipeline restoration is completed and the property is restored.
Mail Boxes: Ed and Jan Bennett have turned over a map showing existing mail boxes and suggested locations to John Schneider at USPS. We will be on a list for completion, hopefully in 2006.
Landscaping Changes: Entrance electrical has been redone because of safety and location of lights away from the bushes.
2nd Annual “Best Decorated House” Contest: Board will again be holding a contest in December for holiday decorations with prizes being awarded for 1st and 2nd place.
Open Board Positions: Hope Szudzik has finished her term as Secretary and will need to be replaced. The Treasurer is also looking for a replacement.
Architectural Control: Terry Fletcher and Kent Kiernan plan to have paint colors and roof types noted on the website so owners can look up the information before requesting approval from the committee.
Open discussions:
There was open discussion about speeding on 19th street. Kent will remind the Chief of Police about the problem. There was also discussion that we can check out the radar trailer and ask for periodic enforcement.
Kevin McKernan brought up adding information on the website of owners testimonials of businesses that have been used for maintenance, etc., to give homeowners a list of referrals.
It was also discussed that there is a need for a pad at the bus stop near Deerfield’s property. John will ask Anina to have Greenbelt make a walkway from the bus stop. John also plans to contact Metro about moving the bus stop.
